The situation

The community had grown quickly. In less than a year they had already run 10+ events across multiple states and built an audience of more than 10,000 people on Instagram.

The growth was exciting. But behind the scenes, they didn't have time to put in the systems and processes to keep up.

Welcome messages and community onboarding were done manually. New contacts came in through different places, then had to be added to spreadsheets by hand before being moved into their marketing and community platforms.

They had even brought on a VA, but their files and processes weren't organised enough to delegate with confidence.

We set up email marketing automations to handle the repetitive parts of the member journey: welcome messages, follow-ups and ongoing communication.

We connected their multiple form captures straight through to their CRM, so contacts no longer need to be moved by hand.

We also reorganised their files and workflows so their VA could actually find what they needed and take ownership of the work they were responsible for.
